The Manager software is used to download, encode and document every trips of registered users.
The application is designed to contain multiple users and instruments in a single database.



Definitions


The Manager

The app that allows you to retrieve data from your instrument, view routes, retrieve start and end addresses, and print and save reports.


TripLogik Map

The service that resides on an internet server and allows the Manager to retrieve the coordinates and the geolocated addresses of each journey.

 

TripLogik Map service

The once a year fee you pay is specifically to cover the costs of this service.

Without the Triplogik Map server, the Manager application cannot function.

  


Primary User

When the Manager is installed, the fist user is defines by default as the primary username.

If the application is used by a single user, the user is the "owner" of the TripLogik Map account


Local user 

Once the Manager software is installed and "connected" to the TripLogik Map server,  It is possible to add several other users in the same software. These users are called "Local Users" because they are not Triplogik Map account owners. 

The local term is used because they use the TripLogik Map server through the Main account (owners)


Basic concept 

  • The Manager application uses a Primary user name to connect to the TripLogik Map server.
  • Every other users are called "local users". They are created to ID trips made by the user.
  • Instruments are "assigned" to a local user. This enable the Manager to know whos trips belong to.

 

There are two possible ways of using the Manager in a corporation


IMPORTANT NOTICE
We suggest the administrator installs the Manager on his PC first, ( usage scenario 1) to registers all of the company instrument, before assigning the instrument to different users .
This will ensure no one installes an instrument using a personal primary account, and makes it easier to manager instruments. 



Scenario 1 

All users are added to a single Manager software and all instruments are synchronized to this PC.

Used mainly in small companies where the mileage log is centralized and managed by one person.

Scenario 2

All users have their own PC, but they use the Primary account to connect to the TripLogik Map server.

Used in small to large companies where the mileage log is the responsibility of the user that will transmit a report to administration.



Scenario 1 explanation

  • The Manager is installed on a single  PC
  • The Manager uses the "primary user" to connect the Manager to the Triplogik Map Server
  • All users and instruments are configured in this single PC to be synchronized.
  • The data will be classified according to the user to whom the instrument has been assigned.

Please follow instructions in the Scenario 1 section below 




Scenario 2 explanation 

  • A copy of the Manager is installed on the administrators PC 
  • A copy of the Manager is installed on the user’s PC using the Primary account.
  • A local User is created to allow the Manager to connect to the TripLogik Map server under the company primary account.
  • Each User has its own PC.



Note 

It's possible to use both modes at the same time.  That is, the user can synchronize his instrument with the Manager on his PC and subsequently in the main PC. ( provided that the data in the instrument is not erased)

How to install and configure the administrator PC 

1- Install the Manager -> How to install the Manager 

2- Start the Manager

3- Register the Manager. Reuse the account (if you have already installed the Manager in the past).

Note about email used

We suggest that you use a general email account that is not likely to disappear if the responsible person leaves the company or if you change the email service.

Once the Manager is registered and connected to the TripLogik Map server, 

you can now add local users -> How to add local users


 

Assigning an instrument to a user 

In order for the application to automatically know whos data it is dealing with when doing a sync, the Manager need to know what instrument is assigned to what user.



  1.  Open the Manager application 
  2.  Log in (log in) with Primary username
  3.  Connect the instrument to be assigned to the PC
  4. When the instrument is detected by Windows a message will show  


If the instrument has not yet been assigned to a user, the following message will appear.

To add the instrument and assign it, click Yes.



From the drop down list, select the user who will use this instrument.

Click "Add instrument to selected user"  




Review the information to ensure it is correct and click Yes 




If you get an error message   


If the following error appears

This indicates that the instrument you are trying to add to your TripLogik Map account

is already registered in another primary user’s account.



The possibilities are as follows:

1- You have created a new main account and your old account already contains this instrument.

2- One of your current or former users has opened their own main account where they have added the instrument. 


"Why can’t I register an instrument in two accounts?"

An instrument is the property of the main account under which it is registered.

Like a cell phone for example, it is impossible to reactivate a phone that is already registered in another person’s name.


What to do

You must contact TripLogik support with the instrument serial number to have the instrument removed from the current main account so It can then be added to your main account.


How to avoid this problem

When receiving your instruments, always add them to the administrator’s PC under the main account.

You can then assign them to another user later.

Adding it to your primary account prevents the instrument from being reassigned to another primary account.



Reassign an instrument (Scenario 1)

If you need to reuse a former employee’s instrument to assign it to a new user.


  1.  Connect the instrument to your Manager.
  2.  Delete the data that is in the instrument (because it does not belong to the new user)                                                 read how to here -> How to delete data in an instrument
  3. Create the new user in your Manager


  1.  Click on the Instruments menu
  2.  Select the instrument to be reassigned
  3.  Click the Reassign Instrument button
  4.  Select the user to whom this instrument will be reassigned
  5.  Click OK
  6.  Click OK to complete reassignment





Using Scenario 2 



Step 1 

You must first install the Manager on the PC of the administrator
This could be the accounting or HR team or the person who will manager the instruments and users

How to install and configure the administrator PC 

1- Install the Manager -> Instructions how to install the Manager 

2- Start the Manager

3- Register the Manager. create or Reuse the Primary account (if you have already installed the Manager in the past reuse the same Primary account).

If this is the first use, create a new Primary account -> Instructions how to register the Manager


Note about email used

We suggest that you use a general email account that is not likely to disappear if the responsible person leaves the company or if you change the email service.

Step 2

Add all of your instruments to the Primary administration account  

Plug the instrument one by one to the Manager and add them to your Primary account.

When the instrument is detected by Windows, a message will show to confirm the action. 

Click YES 



The instrument registration screen will show ( as below)  

In the drop down list, the Primary user should already be selected.

Click the "Add instrument to selected user" button   




Step 3
Installing the Manager on your user's PC 

How to install and configure the Manager in your user’s PC 

1- Install the Manager in the user’s PC  -> How to install the Manager 

2- Start the Manager

3- At the registration screen, select option 2 "Register with an existing account"

4- Use the Primary Account email account and password


Note: Try to remember and not change your Primary password. If you change it, all your users will also have to change it.



5- While logged as a Primary user, add the local user name and password to the Manager -> How to Add Local Users


6- Connect the instrument that will be assigned to this new user 

If the instrument has not yet been assigned to a user, the following message will appear.

To add the instrument and assign it, click Yes.



From the drop down list, select the user who will use this instrument.

Click "Add instrument to selected user"  




Review the information to ensure it is correct
