Although it is not necessary to add detailed trip information to your accounting software, TripLogik is compatible.

Note to users

Despite numerous simulation tests, and reliable results, this new application is still at the Beta stage.

We suggest that you carefully check the number of trips and the total of your Mileage in both platforms to ensure a concordance. We are confident in the quality of our product, but we cannot anticipate all the exceptions of the QuickBooks platform, which is out of our control.



Below is the list of steps to do it.

  1. Create a custom report that incudes the data required by QuickBooks.
  2. Export this report to a CSV file
  3. Convert the TripLogik CSV file into a Quickbooks compatible format
  4. Import the converted file into Quickbooks

Create a custom report for QuickBooks
  

Open the Manager

  1. Select the period of data you are looking to transfer to QuickBooks
    (Change the dates and check the Date From: and Date to: checkmarks).


  2. In Category, select "Business".


  3. Click on the Report button, the select the "Advance" tab.

    Select the required field like in the image below.
    There is no need to select any other field than those listed below, because QuickBooks can only those.


  4. Build the report by clicking on the yellow "Build Report" button.



  5. Export this report in CSV file format.
    In the report generator, click on the disk icon then select "CSV (comma delimited)".
    Save the file into the folder of your choice. We suggest you create a folder called TripLogik_Export.


    Select the location to save , check the name and click save.




Convert the TripLogik file into a QuickBooks import file


Now that you have created a TripLogik document that contains the required information QuickBooks needs,

The next step is to convert this information so that QuickBooks can read it.

In order to convert the TripLogik information into what QuickBooks expect, Triplogik had created a special utility called 
The TripLogik To QuickBooks Converter.

This utility is very simple to use.

  1. Select the report file you just exported as the source.  
  2. Select the destination and name of the QuickBooks file to be created.
  3. Click on the Convert button. 



Possible error messages

This error will show if the source file is missing required fields.
In this state, the destination file is not created as the source is missing some crucial data.

In the error below, the field "Instrument Name" was not found in the file.
 


What to do if you get this error 

Return to step 3  "create a custom report".

And make you include the required field listed in the error.
You must redo the export and try to read it again with the converter.


When the conversion is completed successfully
A message will show the number of trips that was converted and written into the new QuickBooks compatible file.









Import your trips in QuickBooks


At this step, we assume you were successful in creating a report, saving it, then converting it into a Quickbook format

Open your QuickBooks online and login.

In the left vertical menu, select  "Mileage".

 



Click on the "Add trip"  button

In the drop-down menu, Select "import Trips"
 


In the "import panel", select the "Mile IQ" type.
Click on the "Select and import" button

Disregard the included instructions as they are not related
to TripLogik import.


Select the file you have converted before with the converter utility.


Notice that by default, files converted will have the same name as the original file, but will have the QB_ prefix in front.

Click on the Open button to initiate the transfer.


A message will appear, letting you know the file was sent , and the process has started.
Click OK and wait until you receive an email from QuickBooks that will include the final result.

Email will look like this. 


Normally, if all the data in your file was valid, you should get the message below.






What you will see in your QuickBooks interface 


  1. Select the tax year ( if you are in a different year as the data you imported, you will not see them)
  2. item 2 show Total mileage since your import. 
  3. Item 3 will show the list of trips that was imported.

 




Important fact about QuickBooks mileage 


Importing data in QuickBooks is limited.
Unlike TripLogik, information is limited to bare minimum.
Although Triplogik has a lot more information, QuickBooks will limit itself to the set of data they import.

Type of trips
QuickBooks is limited to import business trips only.
Any other type will not be imported. (Even if they are in your TripLogik file)
Be aware that if you include any other type (in your export report) , it might fail the entire import.

Trip time information
Since exact time of the trip is not used by QuickBooks, only the date of the trip is used.
Be aware that trips in the QuickBooks interface might not be in the exact sequence they were made, like in the Triplogik Manager application.

Importing different tax years
If you are planning on importing multiple tax years from your Triplogik data file, consider that the QuickBooks interface only shows data for the currently selected year. (Top left year selection.)

Be aware that some older data might not show in the list as they are in a different tax year.

Vehicle Management 

QuickBooks assign mileage to vehicles instead of people . 


Since TripLogik doesn't know about any vehicles already created in QuickBooks, the file format is configured to use the TripLogik instrument serial number instead of a vehicle name.


Since instruments are assigned to people in TripLogik Manager, it will be easy to correlate who did the mileage between the two platforms.


NOTE

While QuickBooks import the mileage file, a vehicle will automatically be created using the instrument serial numbers.

Later on, when you add more trips , mileage will be added to the proper vehicle automatically.
